3 Full-time 14 hours ago Full Job Description Summary The Administrative Assistant for the Educational Foundation is primarily responsible for completing office support procedures and other administrative tasks as assigned by the Executive Director and/or Board of Directors.
This position issues communications for accepting and receipting philanthropic gifts, in compliance with applicable rules and regulations.
The Administrative Assistant requires a friendly, pleasant personality, diplomacy and tact, the abilities to maintain confidentiality, work independently, prioritize, organize, and the capacity to complete tasks with limited oversight and independent judgment.
This position also requires communication and support services to governing boards; computer skills and attention to detail are essential.

Complete administrative support tasks supporting the department, Educational Foundation Board of Directors, and LLC Board of Managers.
Establish and maintain confidential and sensitive information.
Prepare board materials and packets, maintain detailed meeting minutes in compliance with rules and regulations, schedule and attend meetings, and maintain state and federal government filings.
Provide customer assistance by answering telephone, forwarding calls and answering inquiries.
Maintain databases, completing data entry tasks, creating queries and running departmental reports.
Maintain departmental budget records, including travel, supply and capital orders, general stores requisitions, and petty cash expenditures.
Process donations and reconcile accounts using ICC accounting standards.
Provide relevant statements, queries and reports to stakeholders.
Maintain donor pledge schedules.
Input and process assigned forms, reports, proposals, requests and authorizations.
Assist in the organizing, coordinating and implementing of special events, fundraising campaigns and stewardship initiatives.
Provide work assignments and training to part-time and student employees when applicable.
Provide updates to ensure the Educational Foundation and Alumni Association webpages are current.
Perform related duties as required.
Minimum Qualifications The requirements listed below are representative of the knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.
High school diploma or equivalent.
3 years of experience in an administrative support role.
Proficient in Microsoft Office Suite to create, format and merge documents.
Strong multi-tasking and prioritization skills while working with multiple supervisors.
Strong attention to detail and problem-solving skills.
Strong verbal and written communication skills.
Ability to maintain professionalism and confidentiality with staff, donors and governing boards.
Strong interpersonal skills, including the ability to establish and maintain cooperative and professional working relationships with others.
Preferred Qualifications Associate's degree in business, administration or related field.
Experience working in an educational system.
Experience working in a non-profit foundation or organization.
Experience with accounting and business principles.
Experience with PeopleSoft.
Experience with Blackbaud Raiser's Edge NXT donor software.
Experience with social media (Facebook and LinkedIn) for business purposes.

Estimated Salary: $20 to $28 per hour based on qualifications.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
